Organiser
The organiser of the International Wine Challenge is William Reed Business Media Ltd of Broadfield Park, Crawley RH11 9RT.
Availability of wines in the UK
~ Should your wines be available in the UK it is preferred your UK representative submit the wines on your behalf.
~ If your wines are not available in the UK and you wish to enter the Discovery Tasting please ensure you answer ‘yes’ to question 1 and pay the additional charge.
Criteria for entry
i) Wines must be available in quantities of at least 1,000 litres held for the purpose of release to the market, in containers of a nominal volume not exceeding 3 litres. However, should certain categories of wine be produced in particularly small quantities, batches of wine of less than 1,000 litres may be accepted, but not of less than 100 litres.
ii) All wines must be labeled in accordance with the European Community provisions to show the name of the region and the geographical area of origin of the wine.
iii) The wine must be made 100% from grapes grown in the country in which the wine is bottled, with the exception of those cases of cross-regional and intra-national blends recognised by the EU.
iv) All wines sampled must be sold fitted with a non-reusable sealing or closing device.
v) Unfinished samples will not be judged by the International Wine Challenge.
Cost of entry for wines submitted within the UK
~ An entry charge of £73.80 + VAT will be made for each on-line entry.
~ An entry charge of £83.80 + VAT will be made for each wine entered using the paper entry form.
~ Entry into the Discovery Tasting is £28.50 + VAT
Cost of entry for wines submitted outside the UK
~ An entry charge of £99.10 + VAT will be made for each on-line entry.
~ An entry charge of £109.10 + VAT will be made for each wine entered using the paper entry form.
~ Entry into the Discovery Tasting is £28.50 + VAT

Discovery Tasting
To submit a wine into the Discovery Tasting the wine entered must not have any UK representation at the time of submission. Wines that are found to have an importer will be excluded from the Discovery Tasting and neither credits nor refunds will be issued if the wines are ineligible for tasting. Should a UK importer be assigned to the wine after the entry is made and notification is given in writing before 21 April 2009 then the entry may be cancelled and the entry fee will be refunded in full.
Withdrawal of entries
To delete a wine or cancel an entry, email iwc@william-reed.co.uk with the name of the wine to be deleted or the name of the company cancelling the entry. Entry fees will be refunded in full for cancellations received on or before 6 March 2009. Refunds will not be given for any cancellations received after 6 March 2009.
Payment Methods
Entries with a total net invoice value under £500 (this excludes VAT) must be paid by credit card or by cheque submitted with paper form entry. Entries with a total net invoice value over £500 (this excludes VAT) must be paid by credit card, by cheque submitted with entry or by requesting an invoice. Invoice, payment can be made by credit card (AMEX, Visa, Mastercard), cheque or bank transfer. Payments by cheque must be made in £ sterling, Euros or US dollars and should be payable to "William Reed Business Media Ltd".
Number of bottles to submit per entry
Four bottles of each wine must be submitted for every entry that is only to be judged at the International Wine Challenge.
Six bottles of each wine must be submitted for every entry that is to be judged at the International Wine Challenge and entered into the Discovery Tasting. Since wines may be tasted up to three times, entrants must submit three bottles to allow for this and one spare bottle to allow for an out of condition sample. A further two bottles are needed for the Discovery Tasting for the wine trade which will be held shortly after the main Challenge Tasting. All entries will become property of the Organiser.
If the same wine is entered more than once
When the same wine is being submitted by more than one company, all entrants’ names will be featured equally in the report of the tasting. Fees for multiple entries will not be refunded.
How many wines receive medals?
Wines are judged by an independent panel and are marked on their quality only. The number of wines that receive medals changes year on year depending on the quality of wines entered.

Sending your Wine
Boxes containing wine samples must be clearly labelled on the outside. It is recommended that you use the address label provided.
No wine deliveries will be accepted at the William Reed offices in Crawley, West Sussex.
Late arrivals will not be accepted and neither credits nor refunds will be issued if the forms or wines fail to arrive on time.
Sending your Wine - wines submitted from within the UK
~ Wines must arrive at the Barbican Centre, London between Monday 16 March and Friday 20 March 2009.
~ Please note that wines arriving before 16 March will be turned away and we regret that late arrivals cannot be accepted.
Sending your Wine - wines submitted from outside the UK
~ Free On Board (FOB shipping), on behalf of all Non UK entrants the International Wine Challenge will cover the costs associated with duty, storage, carriage, UK clearance and taxes on samples supplied.
~ The freight charges will only be paid if the entrant ensures delivery is received in the United Kingdom by 6 March 2009.
~ The freight charges will only be paid if the entrant uses the approved Geodis UK Ltd shipping agents.
~ It is the responsibility of the entrant to pay all delivery charges up to the point where their local, Geodis UK Ltd approved shipping agent, receives the samples.
~ The entrant is responsible for contacting their local Geodis UK Ltd approved shipping agent to arrange a suitable date of delivery that allows sufficient time for the samples to be delivered and received in the UK by 6 March 2009.
~ Free on Board (FOB) prices of wines per 75cl must be included on the Entry Form/s since it is upon this figure that duty levels are calculated.
~ The alcohol level must be included on the Entry Form/s since it is upon this figure that duty levels are calculated.

Payment of duty
The Commissioners of HMR&C require evidence of payment of duties and VAT as enshrined in The Alcoholic Liquor Duties Act 1979 and enforced by The Customs & Excise Management Act 1979. Procedures to achieve this are stipulated in the Customs Tariff and Public Notices covering alcoholic products. It is an offense to avoid the payment of these taxes on samples. Further guidance may be obtained from the HMR&C National Advice Service - telephone 08450 109000.
Use of the IWC logo
Any award winner may publicise its award provided the year in which it was won is stated. The winner will be granted a non-exclusive non-transferable license to use the Awards logo in connection with its award for a period of 3 years from the date of the Award.
The IWC logo, Medals and Trophies are available to award winners in electronic or hard copy form. The IWC logo remains the property of William Reed Business Media Ltd and any unauthorised use, reproduction or alteration of the International Wine Challenge logo, Medals or Trophies is strictly prohibited. Should any Medal or Trophy be used for promotional purposes.
(i.e. on printed material or on TV/radio advertising), the award must be attributed to the IWC and its sponsors.
